Privacy policy
Universal AV provides audio, visual and lighting equipment and technical support for live events in Singapore. This website exists so that you can find out what we do and send us an enquiry. We do not sell anything online, and we do not take payment through this site.
This notice explains what personal data we collect when you contact us, why we collect it, how long we keep it and what you can ask us to do with it. It is written to meet our obligations under Singapore's Personal Data Protection Act 2012 (PDPA).
What we collect
We only collect personal data that you give us yourself, through the enquiry form on this website or by contacting us directly.
From the enquiry form
- Required. Your name, your email address, and the message you write.
- Optional. Your company or organisation, your phone number, your event date, the venue, the type of event, and any equipment you have selected.
Nothing else on the form is mandatory. We do not ask for identity-card numbers, passport details, dates of birth, financial information, dietary requirements or health information, and you should not send them to us.
From contacting us directly
If you email or telephone us, we hold whatever you choose to tell us in that message or conversation, together with your contact details.
Automatically
This website runs on Shopify, which sets cookies that are necessary for the site to work and to keep it secure. We do not run advertising trackers, social media pixels or marketing analytics on this site. We do not build a profile of you from your browsing.
Why we collect it
We use the personal data you send us for these purposes, and no others:
- To read and understand your enquiry.
- To reply to you, and to ask follow-up questions about your event.
- To check availability and prepare a quotation.
- To deliver the work, if you go ahead with us.
- To keep a record of what was discussed and agreed.
We do not use your enquiry to add you to a mailing list. We do not sell, rent or trade personal data to anyone.
Consent
When you send us an enquiry, you are consenting to us using your details for the purposes set out above. You can withdraw that consent at any time by contacting us using the details at the end of this notice. We will stop using your data for those purposes within a reasonable time, and we will tell you if withdrawing consent means we can no longer help with your event. Withdrawing consent does not affect anything done before you withdrew it, and it does not override records we are separately required to keep.
Who we share it with
We keep enquiries within our own team. We share personal data outside Universal AV only in these situations:
- Our website and email providers. This site is hosted by Shopify, and our enquiry notifications are delivered by email. These providers process the data on our behalf and are not permitted to use it for their own purposes.
- Where your event requires it. If delivering your event needs a venue, a subcontractor or a supplier to have a contact name and number, we will share only what is necessary for that purpose.
- Where the law requires it. If we are legally obliged to disclose information, we will.
Transfers outside Singapore
Shopify, which hosts this website and stores enquiry submissions, operates servers outside Singapore. Email delivery may also involve servers outside Singapore. This means your enquiry may be stored or processed overseas.
Under section 26 of the PDPA we are required to take steps to ensure that any recipient outside Singapore is bound to a standard of protection comparable to the PDPA. We rely on the contractual data-processing terms that these providers apply to all of their customers.
How long we keep it
- Enquiries that do not become work. We keep them for up to 24 months, in case you come back to us about the same event, then delete them.
- Enquiries that become work. We keep the project record for as long as we need it for the engagement, and afterwards for the period required by Singapore tax and accounting rules.
- Anything you ask us to delete. We delete it, unless we are required to keep it.
We do not keep personal data indefinitely "just in case". When a record no longer serves the purpose it was collected for and we have no legal reason to retain it, we remove it.
How we protect it
This website is served over an encrypted connection. Enquiries reach a business email account protected by access controls, and only the people who need to see an enquiry in order to respond to it have access. We review who has access when people join or leave.
No system is perfectly secure. If a data breach occurs that is likely to result in significant harm to you, or that is of a significant scale, we will notify the Personal Data Protection Commission and affected individuals as required by the PDPA.
Your rights
Under the PDPA you may:
- Ask what we hold. Request access to the personal data we have about you and information about how it has been used or disclosed in the past year.
- Ask us to correct it. If something we hold is wrong or out of date, tell us and we will correct it.
- Withdraw consent. As described above.
Write to us using the contact details below. We will respond as soon as we reasonably can. If we cannot act on a request, we will explain why.
Telephone contact
If you give us your phone number in an enquiry, we will use it to discuss that enquiry. We do not add enquiry numbers to marketing call or message lists. Should we ever run marketing by phone or message, we will check the Singapore Do Not Call Registry and obtain clear consent first, as the PDPA requires.
Other websites
This site links to manufacturer pages for technical documents, and to our own social media profiles. Those sites have their own privacy practices and this notice does not cover them.
Changes to this notice
If we change how we handle personal data, we will update this page and change the date below. Material changes will be summarised at the top of the page.
